A board meeting brings together a small group of senior people for a day that has to work. Agendas are full, decisions matter, and some topics are confidential. The venue should support all of that without drawing attention to itself.

If you are planning a board meeting in Vienna, these are the questions to clarify before you book.

1. How will you use the space?

Ask whether your group will have the venue to itself during the meeting, or whether other groups or members will be on site. For confidential agenda items, also ask who has access to the room and whether conversations can be heard from adjacent areas.

Check this at a viewing. It is easier to judge on site than from photos.

2. Which technology is included?

Board meetings often combine presentations, document reviews and remote participants. Check:

  • the size and number of screens
  • how laptops connect (wireless, HDMI, USB-C)
  • microphones, especially if someone joins remotely
  • Wi-Fi capacity for everyone in the room
  • whether the setup can be tested before the meeting

3. Who is your contact?

Find out who your contact person is before and during the booking, and how quickly the team responds to requests. A dedicated contact who knows your agenda saves time when details change.

4. What about catering?

Most board meetings run for a full day with a working lunch. Clarify whether coffee and snacks are available throughout, whether lunch can be served in the room, and how dietary requirements are handled.

5. Is there space for breaks?

Informal conversations during breaks are part of a board meeting. A separate lounge area or an outdoor space gives members somewhere to talk outside the formal session.

6. How do people get there?

Board members often arrive from different parts of the city or from the airport. Send clear directions with the invitation, including public transport and parking.

A possible schedule

  • 08:30 Arrival, coffee
  • 09:00 Morning session: reports and the main decision items
  • 12:30 Working lunch
  • 13:30 Afternoon session: strategy topics and open items
  • 16:00 Summary of decisions and next steps
  • 16:30 Close

This is an example. Adjust the timing to your agenda.
