A strategy meeting brings a leadership team together for a day of focused work. If you are planning one in Vienna, the venue matters less than how well it fits your plans. Before you compare venues, clarify these questions.

1. How many people will attend, and how will you work?

Group size alone does not tell a venue much. Twelve people around one table need a different setup from twelve people working in three small groups. Describe how you plan to work:

  • Plenary: everyone together, discussing or presenting
  • Small groups: several groups working in parallel on different topics
  • Both: switching between plenary and small groups during the day

If you plan to switch, ask whether the venue can change the setup during the day.

2. Does anyone need to join remotely?

If some participants join online, plan the technology from the start:

  • a large screen so the people in the room can see remote participants
  • microphones, so remote participants can hear everyone in the room
  • reliable Wi-Fi
  • one person in the room who keeps an eye on the remote participants

3. What should be included?

Compare what each venue includes in its price:

  • Catering: coffee and snacks throughout the day, lunch, dietary requirements
  • Workshop materials: flipchart, whiteboard, pinboards, markers
  • A contact person: who your contact is before and on the day, and how quickly the team responds
  • Cleaning: whether end cleaning is included

4. How will participants get there?

International teams often arrive from hotels across the city or straight from the airport. Choose a venue that is easy to reach by public transport, and send clear directions with the invitation.

A possible agenda

  • 09:00 Arrival, goals for the day
  • 09:30 Review: where do we stand?
  • 11:00 Small groups on the main topics
  • 12:30 Lunch
  • 13:30 Small groups present their results
  • 15:00 Decisions and responsibilities
  • 16:30 Close and next steps

This is an example. Adjust it to your team and your topics.
