You are bringing a team to Vienna for a strategy meeting. Some people live in the city, others fly in for one or two days. Before you choose a venue, it helps to work through four questions: travel, group size, technology and the shape of the day itself.

1. Travel

Start with your team’s travel arrangements.

  • Who is travelling, and from where? If most people arrive the evening before, a venue near their hotel or with easy public transport access saves time in the morning.
  • From the airport: Vienna Airport is connected to the city centre by train. Allow enough time for the journey and the last leg to the venue.
  • In the city: Vienna’s public transport network is dense. For many participants, the U-Bahn and trams are the simplest way to get around.
  • Send clear directions: Include the address, the nearest U-Bahn and tram stops and a note on how to find the entrance.

If some participants need accommodation, a hotel nearby is often the easiest solution. The meeting itself does not have to take place in the hotel.

2. Group size and format

How many people will attend, and what will they do?

  • A full-day strategy meeting with plenary sessions and small-group work needs space for both.
  • A half-day decision meeting for a small leadership team needs a good table, a screen and few distractions.
  • A workshop with many participants needs flexible seating and material such as flipcharts and pinboards.

Ask venues how many people fit in the specific setup you need. A room that holds 35 people for a presentation will feel different with 15 people working in groups.

3. Technology

Check what is included and what works without extra setup:

  • a large screen that everyone can see
  • connections for different laptops, including wireless options
  • microphones for larger groups or for participants joining online
  • Wi-Fi that works for everyone at the same time

If some colleagues join remotely, plan the technology from the start. Test the connection before the meeting begins.

4. The day itself

International teams often work in English, even if most participants speak German. Agree on a working language in advance and make sure materials are available in that language.

Plan breaks generously, especially if people have travelled. A walk in the neighbourhood or a coffee outside can help after a long morning session. If you want to have dinner together afterwards, book a restaurant early.
